FLOOR PLAN


GENERAL INFORMATION:
 
  • Capacity: 100 people (with dancing floor, DJ, bar: 80 people).
  • Room Size: 32' x 60'
  • Available 9:00 a.m. - 10:00 p.m. seven days a week year-around. Only one rental per day permitted. All rentals handled at Park District Headquarters (800) 321-1897 Toll-free in Wood County. Otherwise (419) 353-1897.
  • Tables and chairs:
     
    --20 eight-foot lightweight aluminum folding tables (30"x96"). These tables can seat up to eight people (three people per side and one on each end); however, it is more comfortable to have less people per table. Tables have an off-white vinyl coating on top. Tables are 29 inches high and 30 inches wide with a ¾ inch lip or table top thickness.

     

    --100 stacking chairs.

  • Serving kitchenette. Refrigerator and microwave only. (Not a full-service kitchen)
    --Ample outlets and counter space for crock pots, roasters, warming dishes, and coffee pot.

     

  • Heated.
  • Propane fireplace. 
  • Air-conditioned.
  • Outdoor deck for Great Room renter use. Rental tables and chairs are permitted on the deck but not on the grounds.
  • Alcohol is permitted in Great Room/deck ONLY with additional paid Park District alcohol permit. ALCOHOL INFORMATION

 

 
PLEASE NOTE: RENTALS ARE FOR THE GREAT ROOM ONLY and DO NOT INCLUDE THE LOBBY, LOOKOUT ON NATURE AREA, LIBRARY or any other areas.

 

   

 

 

PLEASE BE AWARE: Due to scheduling conflicts such as meeting rentals that may be 45 minutes away, special events, and programs elsewhere in the county, we can not honor meeting time changes once you have reserved your rental.

 

GREAT ROOM RENTAL FEES

 

BASIC NON-ALCOHOL RENTALS
  • Wood County Residents:
    • Monday - Thursday $150.00 ($100.00 + $50.00 refundable damage deposit).
       
      --You MUST call Park District Headquarters in order to receive these rates. If you book online for dates Monday - Thursday, you will be charged the weekend rate of $300.00.

       

    • Friday - Saturday - Sunday $300.00 ($250 + $50.00 refundable damage deposit).
  • Out-of-County Residents:
    • Monday - Thursday $200.00 ($150.00 + $50.00 refundable damage deposit).

       

      --You MUST call Park District Headquarters in order to receive these rates. If you book online for dates Monday - Thursday, you will be charged the weekend rate of $300.00.

       

    • Friday - Saturday - Sunday $450.00 ($400.00 + $50.00 refundable damage deposit)
  • Friends of Wood County Parks (FWCP):
    • Monday - Thursday $125.00 ($75.00 + $50.00 refundable damage deposit).

       

      --Please call Park District Headquarters to receive these rates. If you book online for dates Monday - Thursday, you will be charged the weekend rate of $237.50.

       

    • Friday - Saturday - Sunday $237.50 ($187.50 + $50.00 refundable damage deposit)
  • Wood County Nonprofits and Service Groups are allowed ONE (1) free rental a year Monday-Thursday as availability permits. $50.00 per additional rental. Please call Park District Headquarters to book after April 23, 2005.
  • Wood County Nonprofits and Service Groups wishing to book Friday-Sunday pay full rates as above and may book online.
  • Out-of-County Nonprofits and Service Groups usage: $50.00 per use Monday-Thursday as availability permits. There are no free rentals for out-of-county groups. Please call the Park District to reserve your date.
  • Out-of-County Nonprofits and Service Groups wishing to book Friday-Sunday pay full out-of-county rates as above. These may be booked online.

 

If you want ALCOHOL for your event:

  • You must book and pay for a basic rental online, in-person or by phone.
  • At least 45 days prior to your event, purchase an alcohol permit in person at Park District Headquarters, 18729 Mercer Road, Bowling Green (between Simonds and Sugar Ridge Roads). You will be required to show a drivers license and fill out additional paperwork. Payment is currently by cash or check.
  • Additional Alcohol rental fee for all residents and FWCP members $225.00 (alcohol permit $75.00 + additional refundable damage deposit of $150.00).
  • Alcohol not permitted on park grounds or in the Nature Center.

  • Alcohol is permitted within the Great Room only for renters who purchase alcohol permit at least 45 days prior to event.

  • RENTERS MUST INFORM GUESTS OF THIS REGULATION. Renters and their guests who do not follow these regulations will be cited. Renter is liable for any damage.


 

Additional information:

 
KEYS are not used. When you book your rental you must put a rental arrival and end time for a staff person to meet you to open and close the building. The earliest meet time is 9:00 a.m. (no exceptions), so renters should plan to setup then and start the event at 9:30 or 10:00 a.m. 
 

RENTER RESPONSIBILITIES:

  • Linens, silverware, dishes, glassware, food, drink, catering, waitresses, servers, bartenders, and hosting personnel. The Park District does not provide these.
  • The set-up and take-down of all tables and chairs. Renter needs to include time for this when setting rental meet times. Renters must leave the room, tabletops, chairs and countertops in a clean condition.
  • Meeting all deliveries, rental equipment drop offs, etc.

  • $75.00 for any part of an hour penalty charged for renters leaving after their designated event end time.
  • Renters wishing to book the facility past 10:00 p.m. pay an additional usage fee of $50.00/hour. This additional fee must be paid at least 45 days prior to rental date. 
  • Renters who book for other people. Please convey rental meet times and Park District rules & regulations to all members of the event party, caterers, decorators, musicians, and so forth. This will alleviate last minute crises, especially for weddings. Rangers are instructed to open the room for the renter whose name appears on the rental receipt/contract.

REFUNDABLE DAMAGE DEPOSITS:

  • Are mailed to you in the month following your rental from the Wood County Auditors Office.
  • If you need to cancel, please call Park District Headquarters (419) 353-1897 as soon as you know so the room can be made available to other renters.
  • Cancellations may be made up to two weeks prior to your event to receive a full refund. Cancellation refunds take several weeks to process. A refund check will be mailed to you from the Wood County Auditors Office. Credits are not made to your credit card and a $5.00 processing fee will be deducted from all credit card refunds.
